Sharing Your Data
We use trusted processors for hosting, analytics, payments, CRM and support. We require contracts and appropriate safeguards from all suppliers.
International Transfers
Where data leaves the UK or EEA, we use approved safeguards such as IDTA or EU Standard Contractual Clauses with the UK addendum.
Retention
Enquiry records: 24 months.
Client records: 7 years for finance and legal obligations.
Analytics data: 26 months unless anonymised sooner.
For website chat, we store your name, email address and messages so our team can respond. Conversation history is retained for up to 90 days after the last message and removed during routine cleanup. A private conversation key is kept in essential session storage so you can continue chatting in the same browser tab. Cloudflare processes and stores chat data, and Turnstile helps prevent spam. Chat contents are masked from session recordings. When the team is offline, messages are saved for a reply by email.
When you book a meeting, we use your name, email address and chosen time to arrange it through Google Calendar and Google Meet. We check the organiser’s connected calendars for busy times; private appointment descriptions are not shown to visitors. Your invitation contains a private management link. Keep this link confidential. We use essential browser storage to let you return to your booking, and Cloudflare Turnstile to help prevent automated abuse. Connected calendar credentials are encrypted and can be disconnected by the organiser.
If you accept marketing cookies, we use Google Ads conversion measurement to understand which adverts lead to confirmed Hampshire Bookings enquiries. Google may receive advertising click identifiers, page information and a conversion event. We do not send the contents of your enquiry, your name or your email address in these conversion events. Advertising personalisation and enhanced conversions are not enabled by this setup. You can withdraw marketing consent using Cookie settings in the footer.
With your permission for performance cookies, we use Microsoft Clarity to understand how visitors use our website through heatmaps and session recordings. Form contents are masked, and our admin portal is excluded. You can withdraw permission through Cookie settings in the footer. Microsoft processes this usage data; see the Microsoft Privacy Statement.
We keep data only as long as needed for the purpose it was collected.
